Working vocabulary
What this role does
The Accounts Payable is the procure-to-pay operations individual contributor responsible for vendor invoice intake, validation, coding, purchase-order and receipt matching, approval routing, payment preparation, vendor-master hygiene, exception resolution, and vendor tax-document readiness. The role is accountable for this outcome: only valid, approved, correctly coded vendor obligations enter the payment process, payments occur on the right terms through controlled release, and every item can be traced from vendor and invoice through match, approval, settlement, and accounting hand-off. At Individual Contributor altitude, it owns operational invoice intake, validation, coding, matching, and exception queues, approval completeness and evidence before payment preparation, vendor-master and vendor-tax-document maintenance through controlled workflows, payment-batch preparation and post-run operational reconciliation within delegated procedure; advises on the accounting owner on AP aging, cutoff evidence, unusual obligations, recurring exceptions, and sub-ledger concerns, Procurement, requesters, receiving, Treasury, and vendors on missing operational evidence while they retain purchasing, receipt, release, and commercial decisions; and escalates a new or changed vendor or bank instruction that cannot be independently verified, a suspected duplicate, fraud, split invoice, sanctions or tax-document issue, approval override, or segregation-of-duties conflict, a payment release, write-off, accounting-policy conclusion, or commercial dispute outside delegated authority. The source material identifies Accounts Payable Specialist as the functionally equivalent label. This package preserves the separate roster identity required by the owner and does not fabricate a difference in legal or operational authority. The seat is operational, evidence-heavy, and fraud-exposed. It is not a generic accounting clerk and it is not the owner of AP accounting policy. Strong performance comes from validating the obligation before speed pressure reaches the payment run, keeping the vendor and invoice identity chain intact, and escalating anomalies before they become cash loss or period-end misstatement.
