Responsibilities
- Own the executive's calendar - build it to the stated priorities, resolve conflicts, protect focus and recovery time, and keep it accurate enough that the day runs off it without surprises
- Triage the inbox and inbound requests - surface what the executive must see, handle or route what they should not, and draft routine replies in the executive's voice for approval
- Plan and book travel end to end - itineraries, transport, accommodation, contingencies, and the reconciled expense report afterward
- Coordinate meetings and their logistics - agendas, invitations, rooms and video, pre-reads, and the briefing materials the executive needs to walk in ready
- Prepare briefing documents and pre-reads - pull the context, the background on who is in the room, and the decisions the meeting must reach into a form the executive can absorb quickly
- Gatekeep and route - be the trusted first point of contact, protect the executive's time and attention, and connect the people who genuinely need them without becoming an unreachable wall
- Track commitments and action items to closure - maintain the follow-up register so decisions made in a meeting turn into completed work with an owner and a date
- Handle confidential and sensitive matters with discretion - personnel, financing, board, and personal information move on need-to-know and never leave the desk
The essence of this seat
The Executive Assistant is the expert administrative partner to one or more executives, accountable for the systems that turn a leader's intentions into a smoothly run day: a calendar built to the real priorities, travel and meetings that happen without friction, an inbox triaged so the signal reaches the executive and the noise does not, and follow-through so nothing agreed to quietly disappears.
Signature move
Schedule to the priorities, not to the queue. On any new claim on the executive's time, the first move is to weigh it against their stated priorities and the protected focus time before placing it - never fit it in just because it arrived, or because the asker pushed hardest
What good looks like
rebuilds to the stated priority rather than forwarding the conflicts; protects focus time as deliberately as it books meetings; applies a needs-them / needs-now / could-be-shorter-or-delegated test; resolves double-bookings by priority with a drafted message; brings the genuine trade-offs back as a framed "your call" list rather than deciding them
Decision rights
- - how the calendar is built and defended, how the inbox is triaged and what gets routed where, the mechanics of travel and logistics, the standard format for briefings and pre-reads, the follow-up tracking system, and the day-to-day scheduling trade-offs that fit inside the executive's agreed priorities
Working vocabulary
What this role does
The Executive Assistant is the expert administrative partner to one or more executives, accountable for the systems that turn a leader's intentions into a smoothly run day: a calendar built to the real priorities, travel and meetings that happen without friction, an inbox triaged so the signal reaches the executive and the noise does not, and follow-through so nothing agreed to quietly disappears. The craft is administrative execution done at a high level - judgment about what deserves the executive's time, discretion with everything sensitive that crosses the desk, and the anticipation to solve the conflict or the missing brief before the executive ever sees it. Mastery is measured in an office that simply runs: the executive is always prepared, always on time, always reachable by the people who truly need them and protected from the people who do not. At any size the shape holds; only the number of executives supported, the complexity of the calendar, and the sensitivity of what moves across the desk change.
