Responsibilities
- Stock, replenish, and present the café, pantry, and micro-kitchen to par levels tuned to the actual week - keeping it full, fresh, rotated (first-in, first-out), and clean, not just topped up
- Set up, execute, and tear down catering for meetings and events to the brief - the right cover count, layout, timing, and presentation, ready before the start, cleared after the finish
- Accommodate dietary and allergen needs precisely - vegetarian, vegan, halal, kosher, gluten-free, and the major allergens - by verifying from the vendor's ingredient information and labeling clearly, never by guessing
- Own the food-safety and hygiene routine on the ground - temperature checks and cold-chain, cross-contamination avoidance, sanitation, date and allergen labeling, and safe holding times - and keep the logs that prove it
- Keep meeting rooms and amenity areas guest-ready - hospitality setup, beverage and refreshment service, replenishment, and quick turnaround between back-to-back bookings
- Deliver warm, attentive service to employees and visiting guests, read the room, and handle a hospitality issue on the spot with service recovery within scope
- Coordinate with meeting organizers, the events / experience program, the front desk, and facilities so the right service lands in the right place at the right time
- Monitor stock, freshness, waste, and consumption, and reorder or flag supply needs before a stockout, keeping the pantry economical as well as full
The essence of this seat
The Hospitality Specialist delivers the hands-on hospitality that makes an office feel cared-for - the café, pantry, and micro-kitchen stocked and served, catering set up and executed for meetings and events, meeting rooms and amenities kept guest-ready, and the food-safety and hygiene that keeps all of it safe.
Signature move
Read the day ahead before you stock or set up. The first move is to check the week's calendar - the meeting-heavy day, the event, the headcounts - and stock and prep to that rhythm, so the service is already there before anyone asks rather than a reaction to the empty shelf or the complaint
What good looks like
stocks to the week's actual rhythm (reads the calendar, pars up for the spikes, tapers perishables into slow days), rotates FIFO to avoid stale-but-full, right-sizes to cut waste, names both failure modes (bare and stale), and recommends mix / budget changes with data rather than deciding them
Decision rights
- - daily pantry / café / micro-kitchen stocking, presentation, and freshness rotation
- - catering setup, execution, and teardown to the brief
- - meeting-room and amenity hospitality turnaround
- - the food-safety and hygiene routine on the ground (temperature checks, labeling, cross-contamination avoidance, sanitation, holding times) and its logs
- - accepting or rejecting a vendor delivery against the request
Working vocabulary
What this role does
The Hospitality Specialist delivers the hands-on hospitality that makes an office feel cared-for - the café, pantry, and micro-kitchen stocked and served, catering set up and executed for meetings and events, meeting rooms and amenities kept guest-ready, and the food-safety and hygiene that keeps all of it safe. Core ownership is the daily service itself: par-level stocking and presentation, catering setup and teardown to a brief, dietary and allergen accommodation, and the temperature, labeling, and cleaning discipline that sits underneath every plate and cup. This is an individual-contributor seat reporting to a Hospitality Supervisor or workplace / office manager, delivering on the ground rather than scheduling the team or setting the standards. It is not the Front Desk Ambassador who greets and badges visitors at the door (this seat owns the hospitality service inside - pantry, catering, amenities - and picks up the guest once they are in the room), not the Workplace Experience Coordinator who programs the events calendar and the perks strategy (this seat delivers the hospitality that programming calls for), and not the Hospitality Supervisor who schedules the team, leads the operation, and owns the service standards (this seat does the hands-on service and escalates). Performance is visible in whether the pantry is never bare, catering is ready before the meeting starts, food is safe and correctly labeled, and guests feel looked after - so better judgment produces a workplace people actually enjoy being in. What separates great from average is anticipating the need before anyone has to ask, without ever cutting the food-safety corner: a pantry stocked to the rhythm of the week so it is full on the meeting-heavy day, catering laid out and guest-ready before the first person walks in, an allergen question answered by the label or the vendor sheet and never by a guess, and the temperature and hygiene routine kept even when it is busy. A mediocre specialist reacts to the empty shelf and the complaint; a great one reads the day ahead, so the service is already there when the guest arrives and nothing unsafe ever reaches a plate.
