Your Stack (Swappable)
This role works against whatever tools you already run. We list the tool categories the role operates in, never a named vendor, so you are never asked to replace a system that works.
- IT Ops (RMM/Asset/Backup)
- Barcode / RFID scanning
- Design & Prototyping
- Accounting / ERP
- Analytics & BI
Deliverables
- Runbooks and procedures
- Capacity forecasts
- Topology and resilience designs
- Change and maintenance plans
Responsibilities
- Receive inbound hardware at the dock - verify against the ASN / PO and the physical goods, inspect for damage and shorts, capture serial numbers and asset tags, and record the receipt into the WMS / ERP so the on-hand reflects reality the moment it lands
- Put away received stock to a known, logical bin / location so every item is findable, and keep the location record accurate as things move
- Run cycle counts on a schedule (ABC-weighted) and physical / wall-to-wall counts as needed, and reconcile the counted quantity against the system record
- Investigate every count discrepancy to a cause - a miskeyed receipt, a put-away to the wrong bin, an unrecorded pick, damage, or shrink - and fix the process, not just the number
- Manage bin / location layout and slotting so fast-moving and high-value items are controlled and the stockroom stays organized rather than accreting clutter
- Pick, pack, and kit parts against a deployment BOM / kit list, stage them for the build, and record the issue so the on-hand drops as the physical stock leaves
- Hold spare-parts and RMA stock under control - segregate returns, track RMA status, manage min / max on spares, and keep failed / to-be-returned gear from contaminating good stock
- Maintain serial / asset tracking and chain of custody - what serial is where, issued to whom, returned when - so the asset record and the physical reality agree
The essence of this seat
The Inventory Specialist is the hold seat: the individual contributor accountable for the physical hardware inventory - servers, network gear, cabling, racks, spares, and datacenter materials - being where the record says it is, in the quantity the record claims, and findable when the build needs it.
Signature move
Verify at the dock before the record moves. On any inbound, open it and check the physical goods against the ASN / PO - count, condition, part, serials - never sign against the slip; the receipt is the record's first chance to go wrong and the cheapest place to catch a short, damage, or wrong part
What good looks like
receives against the ASN / PO and the physical goods, not the slip - count, inspect, capture serials, record, put away to a findable location, then release; flags a discrepancy to the planner rather than absorbing it into stock; treats the dock as where record accuracy is won or lost
Decision rights
- - the cycle-count schedule and execution within policy
- - put-away location decisions and day-to-day bin / location layout in the stockroom
- - receiving inspection and the flag on any short / damage / wrong part
- - serial / asset capture
- - pick / pack / kit execution against a BOM and staging
Working vocabulary
What this role does
The Inventory Specialist is the hold seat: the individual contributor accountable for the physical hardware inventory - servers, network gear, cabling, racks, spares, and datacenter materials - being where the record says it is, in the quantity the record claims, and findable when the build needs it. Core ownership is the accuracy of the on-hand: receiving and inspecting what arrives at the dock, putting it away to a known bin / location, cycle counting and running physical counts so the count stays honest, managing the stockroom's locations so nothing is lost in plain sight, picking / packing / kitting parts for deployments, holding spare-parts and RMA stock under control, capturing serial numbers and asset tags, and reconciling the warehouse-management / ERP record to what is physically on the shelf. This is an individual-contributor seat reporting to a Supply Chain Manager, with end-to-end ownership of the stockroom it holds and close partnership with the planner who buys, the coordinator who delivers, the deployment teams who consume, and finance who has to make the inventory tie out. It is not the Supply Chain Specialist, who plans and sources - decides what to buy, from whom, and when, and runs the paper three-way match that says the PO is satisfied; this seat physically receives, counts, and puts away what that planning brought in, and owns whether the shelf matches the system. It is not the Logistics Coordinator, who moves the goods - books freight, clears customs, and delivers between sites; this seat takes the handover at the receiving door and owns everything that happens once it lands and sits. It is not the Supply Chain Manager, who owns the program, the people, and the budget - this seat surfaces shrink and variance with evidence and escalates up. Performance is visible in inventory record accuracy, count variance, and fill / kit-readiness for the build, so better holding produces measurable business impact: parts that are actually there when someone reaches for them. What separates great from average is making "the system says we have it" and "it is physically on the shelf" the same statement, every time anyone checks. A mediocre specialist receives against the packing slip without opening the box, puts gear "somewhere with space," counts once a year in a panic, and finds out a part is missing when a deployment is already blocked at the rack. A great one verifies the receipt against what was actually ordered, puts every item where it will be found again, cycle counts to a schedule and traces each discrepancy to the process that caused it, keeps serials and locations honest, and hands the planner and finance a record they can plan and close the books from without a second guess.
