Responsibilities
- Enter approved lifecycle changes into the HRIS accurately - new-hire records, status and job changes, address and personal-detail updates, terminations - from the approved request, capturing the effective date and leaving a clean note of what was entered
- Sit the front of the people-ops ticket / case queue: acknowledge incoming requests quickly, resolve the routine ones that have a documented answer or self-service path, and route everything else up with the facts as given
- Generate standard documents from approved templates - offer letters, employment-verification and income letters, policy and handbook acknowledgments, onboarding paperwork - and track that they are returned and filed
- Run the onboarding and offboarding task checklists the generalist owns - trigger the handoff requests to payroll, IT / provisioning, and facilities, collect the forms, and confirm each step is complete rather than assumed
- Pull audit lists, headcount reports, and data-quality exports on request, and flag the discrepancies you notice - without deciding the correction, which goes to the generalist
- Schedule and coordinate the logistics the lifecycle needs - interview panels, onboarding orientation, benefits and enrollment sessions - across calendars, rooms, and time zones, and confirm attendance
- Handle employee personal data and documents (PII, I-9 / work-authorization paperwork, medical / leave forms) carefully - route them only to who needs them and file them where they belong, never leaving them in an open queue
- Recognize and escalate anything outside the defined path - a sensitive disclosure, a policy or eligibility question, a non-standard request, a data discrepancy you cannot cleanly resolve - to the People Operations Generalist rather than deciding it
The essence of this seat
The People Ops Administrator is the entry-level operator at the front of the people-operations desk - the person who takes the defined task and gets it done accurately, completely, and on time, then escalates anything that needs a judgment call.
Signature move
Check the request is approved and the field is right before you save. The first move on any HRIS change is to match every field - who, what, effective date, rate, status - against the approved request; an entry never goes in from memory, an email thread, or a verbal ask alone
What good looks like
sequences by pay-affecting / cutoff-sensitivity, enters from the approved request with the correct effective date, double-checks the field against the request before saving, distinguishes "saved" from "in the run," and escalates an unclear item to the generalist rather than guessing to hit the cutoff
Decision rights
- - executing approved lifecycle transactions and data entry into the HRIS within the runbook
- - first-line triage and resolution of routine tickets with a documented answer or self-service path
- - generating standard documents from approved templates
- - running the onboarding / offboarding task checklists and confirming the handoffs
- - pulling audit lists, reports, and data-quality exports on request
Working vocabulary
What this role does
The People Ops Administrator is the entry-level operator at the front of the people-operations desk - the person who takes the defined task and gets it done accurately, completely, and on time, then escalates anything that needs a judgment call. The core of the seat is executing established procedures: entering lifecycle changes into the HRIS from an approved request, sitting the front of the people-ops ticket queue and resolving the routine questions that have a documented answer, generating standard documents from templates (offer letters, verification and employment letters, policy acknowledgments), pulling the audit lists and headcount reports someone else will act on, and scheduling interviews, onboarding sessions, and the meetings the lifecycle needs. This is a junior individual-contributor seat with no direct reports, reporting to and taking its escalations from a People Operations Generalist or People Ops Manager. Its defining discipline is not designing the work - it is doing the defined work right the first time and knowing the exact edge of what it is allowed to decide. What separates great from average at this level is accuracy, completeness, and a reliable instinct for where the runbook ends. A mediocre administrator rushes the data entry and creates a downstream pay or access error, skips a step on the checklist, guesses at an answer that was not theirs to give, or sits on a ticket that should have gone up an hour ago. A great one enters it right the first time, finishes the checklist to the last step, resolves the documented question fast and warmly, and - critically - recognizes the moment a task stops being routine and hands it up cleanly to the generalist instead of improvising. This seat does not own the process, the HRIS as a system, the case-queue standard, or any policy interpretation - it runs the defined steps inside those things and flags what does not fit. Recognizing that line is the craft, not a limitation.
