Responsibilities
- Own CRM data hygiene as an operating discipline - correct stale ownership, missing close dates and next steps, duplicate accounts and contacts, and configuration drift, so the pipeline number can be trusted
- Define and enforce stage exit criteria so a pipeline stage means the same thing for every rep, and inspect deals against those criteria rather than taking the stage at face value
- Produce pipeline inspection and health reports - coverage, weighted pipeline, stage conversion, velocity, aging, and slippage - that surface the action, not just the total
- Build rep and territory performance reporting that a sales manager can coach from, keyed to the gap and the next move rather than a ranked scoreboard
- Prepare the forecast-data pack sales leadership commits from - coverage against quota, weighted and historical-conversion views, and where the rep commit diverges from what the pipeline supports - without making the forecast call
- Build and maintain quota and territory support files - account assignments, attainment tracking, and the reconciliation to finance and comp - to a defined quality standard
- Improve the sales process around the CRM - remove duplicate data-entry steps, add validation rules and required fields at the source, and automate repeatable reporting - and document it so another qualified person can continue the work
- Support territory redesign, systems consolidation, a CRM migration, or a planning reset by updating assignments and reporting, validating the affected data, and documenting transition risks before launch
The essence of this seat
The Sales Operations Analyst is the hands-on data seat of a sales organization - the individual contributor who keeps the sales machine running on numbers people can trust.
Signature move
Inspect before you report. On any pipeline number, the first move is to inspect the deals under it - stale close dates, missing next steps, duplicates, deals past their stage age - and report the corrected, trustworthy total, never the raw export
What good looks like
inspects rather than sums; catches the stale close date, the duplicate, and the no-next-step commit and treats each as a data problem; reports inspected pipeline next to the raw total; routes corrections back to the source (reps/CRM), not a private patch; leaves the forecast call to leadership
Decision rights
- - CRM data-hygiene standards and the cleanup itself, stage exit-criteria definitions and deal inspection against them, the design and cadence of pipeline / rep / territory reports, which pipeline-health signals to surface and how, and the mechanics and quality of the quota and territory support files and the forecast-data pack
What this role does
The Sales Operations Analyst is the hands-on data seat of a sales organization - the individual contributor who keeps the sales machine running on numbers people can trust. They own the CRM as the sales org's system of record for pipeline: stage discipline and exit criteria, data hygiene, rep and territory reporting, quota and territory support files, and the pipeline-and-forecast data pack that sales leadership commits from. They work inside the sales-org slice of the revenue picture rather than across the whole business or the whole funnel, and they partner with sales reps, sales managers, sales leadership, and finance to get the inputs and decisions a trustworthy pipeline needs. This is an individual-contributor role, reporting into a Sales Operations Manager or a sales leader, and accountable for a clean, reportable, forecast-ready sales pipeline - not for setting the function's standard and leading the team (that is the Sales Operations Manager), running the end-to-end lead-to-cash funnel across sales, marketing, and customer success (that is the RevOps Analyst), or producing cross-functional operating analysis and business cases for the whole business (that is the BizOps Analyst). The Sales Operations Analyst keeps the sales system of record honest and hands the clean pipeline data to those seats; it does not become them. What separates great from average is three things: treating the CRM as an operating record, not a chore (a pipeline number is only as good as the stage hygiene under it, and a stage that means five things to five reps forecasts nothing), reporting that drives a coaching or coverage action (not a leaderboard that shames a rep nobody then helps), and giving leadership the pipeline reality without making the forecast call for them (coverage, weighted pipeline, historical conversion, and where the rep commit is running ahead of the data). The output is a trustworthy pipeline and the decision-ready data on top of it, never a raw CRM export.
