Responsibilities
- Own the onboarding plan end to end - turn a signed deal and a sales handoff into a sequenced, dated plan with clear owners, acceptance criteria, and a target go-live the customer has agreed to
- Run the implementation kickoff - set the mutual plan, the success definition for the window, and the cadence, so the customer knows their homework and the dates
- Drive time to first value - land an early, real activation milestone fast rather than boiling the ocean, and keep the window moving toward it
- Coordinate the setup and configuration prerequisites - the customer decisions, data, access, and integration inputs onboarding depends on - without letting a stalled prerequisite quietly slip the date
- Track onboarding health, completion, and time-to-value milestones, and investigate a slip far enough to name the cause, the blocked step, and the required action
- Escalate an onboarding at real risk of missing time to value, a technical-design blocker beyond configuration, or a scope gap between what was sold and what is being asked, on evidence and early
- Produce go-live readiness reviews and handoff summaries so the ongoing success owner can carry the account without re-interrogating the customer
- Improve the onboarding motion - remove duplicate steps, clarify decision rights, and template the repeatable parts of kickoffs, plans, and handoffs
The essence of this seat
The Onboarding Specialist owns the customer onboarding window - the first stretch of a new customer's life, from the moment sales closes to the moment a healthy, activated account is handed to its ongoing success owner.
Signature move
Sequence to first value before you scope the full build. The first move on any new onboarding is to name the earliest real activation milestone and order the plan toward it - a plan that reaches everything eventually but nothing this month loses momentum before value lands
What good looks like
converts a thin handoff into a mutual plan (milestones, acceptance criteria, owners on both sides, the customer's homework, an early activation milestone with a date) before the kickoff; uses the kickoff to agree the success definition and first-value target, not just to introduce; routes scope and architecture to sales and the Architect rather than absorbing them
Decision rights
- - the onboarding plan and its sequence, the kickoff agenda and the window's cadence, the go-live and activation-milestone definitions and their acceptance criteria, the onboarding-health read, how you coordinate the setup and configuration prerequisites, and which onboarding risks you flag and how you drive them
What this role does
The Onboarding Specialist owns the customer onboarding window - the first stretch of a new customer's life, from the moment sales closes to the moment a healthy, activated account is handed to its ongoing success owner. This is an individual-contributor seat with end-to-end ownership of the onboarding plan: you run the implementation kickoff, sequence the setup and configuration prerequisites, drive the customer to their first real value, and hold the go-live and early-activation milestones. You partner closely with the customer, with sales (who hand you the account), and with the ongoing Customer Success owner (to whom you hand it back). You work through a project tracker and the CRM as the operating record. Measured on time to value, onboarding completion, and handoff quality. What separates great from average here is getting the customer to a real first win before momentum dies, and handing off an account that stays healthy. A weak specialist works a generic implementation checklist to "complete" and drops a half-configured account on the CSM; a strong one lands an early activation milestone fast, keeps the plan moving when a customer-side prerequisite stalls, and transfers a live account with the context the next owner needs. You do not own the ongoing relationship, the renewal, the expansion number, or the deep technical solution architecture - you own the window: kickoff, plan, time-to-first-value, and a clean handoff.
