Your Stack (Swappable)

This role works against whatever tools you already run. We list the tool categories the role operates in, never a named vendor, so you are never asked to replace a system that works.

  • CRM
  • Customer Success Platform
  • Product Analytics
  • ITSM / Service Desk
  • Task / project tracking
  • Team Chat & Collaboration
  • Analytics & BI

Deliverables

  • Onboarding and success plans
  • Account health assessments
  • Business review decks
  • Renewal and escalation plans

Responsibilities

  • Deliver customer follow-up tasks to a defined quality standard and close the loop on the dependency, decision, owner, and review date - not just the activity
  • Draft health updates and meeting or business-review prep and notes, with the evidence, the change since last touch, and the recommended action a CSM can decide on
  • Keep the CRM and CS tooling a reliable operating record - correct stale ownership, missing evidence, and configuration drift before they mislead a decision
  • Monitor customer response time, task completion, and adoption activity, and investigate a change far enough to name the cause, the affected account, and the required action
  • Triage an adoption, health, or response-time signal and route it to the owner - the CSM, support, renewals, or onboarding - with the evidence attached
  • Coordinate inputs, decisions, and handoffs across the customer, the CSM, support, and onboarding so tasks complete without avoidable rework
  • Escalate churn, renewal, escalation, or customer-relationship risk to the account owner early, on evidence, rather than sitting on it
  • Improve the workflow around recurring lifecycle tasks - remove duplicate steps, clarify who decides, and automate the repeatable parts of reporting and follow-up

The essence of this seat

The Customer Success Specialist executes the customer lifecycle.

Signature move

Define "done" as a closed loop before you start. On any follow-up, the first move is to name the dependency, the decision needed, the owner, and the review date - so the task is tracked to closure, not to "I sent the email." A task with no closure criterion is a task you cannot finish

What good looks like

converts vague stubs into closed loops (dependency, decision, owner, review date) before acting; sequences by risk and response-time SLA, not age; separates what it closes from what it escalates to the CSM; reports closure and in-flight state, not activity

Decision rights

  • - how you execute your assigned lifecycle tasks and sequence your follow-up queue, the completeness and quality of your health updates and meeting notes, the data hygiene on the accounts you support, and which adoption or response-time signals you flag and how you triage them

What this role does

The Customer Success Specialist executes the customer lifecycle. This is the entry point of the CS craft: an individual-contributor seat, reporting to a Customer Success Manager or CS Director, that takes customer follow-up tasks from ambiguous intake to documented, usable output. The day is adoption support, health updates, meeting and business-review prep and notes, and the account coordination that keeps a customer moving - all run through the CRM and the CS tooling as the operating record. You work alongside the Customer Success Managers who own the accounts, and alongside support, onboarding, and renewals, and your job is to make their decisions faster by keeping the account data clean, current, and decision-ready. What separates great from average here is closing the loop and keeping the record trustworthy. A weak specialist marks a task done and moves on; a strong one closes the dependency, documents the decision and the owner, updates the health picture with what actually changed, and flags the adoption or response-time signal early enough to matter. You do not own the account outcome, the renewal number, the onboarding window, or a team - you execute the lifecycle tasks and keep the account decision-ready so the person who owns each of those can act. Measured on customer response time, task completion, and adoption activity.
